Process: Using the Project Board

Overview

Active OD2 project boards are named for the workcycle (WC). Workcycles are 6 weeks long, divided into three 2-week sprints (S1, S2, and S3). Workcycles are separated by at least a 2-week off-sprint period between them. No more than 2 WC boards are active at one time - the current board, and the previous board.

Board Layout

The board has 6 columns (or lanes):

  • Goals - Each team has a card listing goals for the WC
  • Backlog - Issues that accomplish the team's goals
  • Ready - Issues reviewed by team leads/project manager as workable for the current sprint
  • In Progress - Issues that developers have assigned themselves to and are actively working on
  • QA Needed - Issues that need a stakeholder to test the issue and either report back errors in the issue or close it
  • Done - Resolved issues

Process

Start Workcycle

  • Current WC goals are reviewed by team leads and the project manager (PM)
  • If issues supporting goals already exist, cards are added to Backlog
  • If issues don't exist, leads and pm can create them and add them to Backlog

In-cycle

  • Team leads, the PM, and the developers move issues that should be managed in the current sprint to Ready
  • Developers assign themselves to issues, and move cards to In Progress
  • Once a PR has been merged, if additional QA is required, the developer adds info about testing/QA to the issue, @s likely testers, and moves the card to Needs QA
  • Once an issue is resolved successfully, the resolver (dev, PM, QA) moves the card to Done

NOTE: Cards can be moved backwards in the lane progression as needed. Cards that are not moved to done at the end of the sprint are reviewed and either removed from the WC or moved back into Backlog.

End Workcycle

  • The team leads work with their teams to wrap up any remaining issues or PRs associated with the current WC.
  • Team leads and the PM move cards as needed to the next WC's Backlog
  • Team leads and the PM write goals for the next WC sometime between the end of S3 and the beginning of the next WC, and add team goal cards to the next WC's Goals
