DARIA Org Meeting Notes 2022

This is where we record the minutes for 2022 organization meetings. The DARIA leadership meets every 2nd month to discuss the state of the application, plans for future technical work, and strategic goals relevant to the nonprofit behind DARIA.

Tech

  • Cloudflare firewall is now enabled
  • We've disabled healthchecks for staging deploy because they are being blocked by our firewall
  • We're basically up-to-date on everything
  • Pledge forms need some security work
  • Cristina to look at the Puma upgrade in January
  • Kat's 2023 project will be a frontend exorcism
  • Contracted-out 2-factor work starting in January or February
  • Spurious Sqreen errors in the Papertrail logs are confusing AF, maybe the codebase is haunted?

Board Matters

  • Daria has approved a budget

Business

  • Penny is now in a usable state, and some funds will be moving over. Paperwork is in-progress, off-boarding will likely begin in January.

Tech

  • Moving to Cloudflare: one week of lead time to let funds know should be fine. Cristina will lead on this.
  • CSP Re-enablement: ongoing struggle to move our JS into modern Rails. We don't fully understand the new JS paradigm. Kat going to take the lead on this.
  • Puma upgrade: Cristina going to try to do this, might fail.
  • Bootstrap upgrade: Colin might get to this eventually. Might be a good fit for software for good. Will revisit in December.
  • Offboarding a fund: First draft of the process is almost ready. A rake task would be ideal. Aiming for end of November. Kat is leading this.

Board Matters

  • Insurance update: We have liability insurance! And access to a risk assessment service!
  • Trestle/SFG update: Good things are happening, and we are well under budget for this.
  • Testdouble update: We might be getting ghosted. Colin to follow up in mid-November.
  • Demo for 2 affiliated funds: Lisa to take the lead

Business

  • Penny state of the world: DCAF is going to stop using DARIA at some point in November; they are moving to Penny.
  • T4RJ Discussion: A potential new source of volunteers?

Tech

  • Onboarding new funds - First State, Palmetto, IWR
  • Bootstrap upgrade: Ideally finished by November or December.
  • Other tech work to prioritize: upgrade to OAuth2.
  • NH's contributor interested in sending some PRs. Colin will mentor this new contributor.
  • Heroku: Not a pressing concern, but we will continue monitoring the situation

Board Matters

  • Trestle/SFG - security hunt + bug fixes. Contract not signed yet, but hopefully within the next week.
  • TestDouble contract - signed and sealed. They will work on encryption at rest and 2FA, hopefully by EOY.

Business

  • Chicago closing out, we need to figure out how to wind down their instance.
  • Penny state of the world

Tech

These are the priorities:

  • Bootstrap 5 upgrade: We need to do this to upgrade all of our npm dependencies. Cristina going to continue this work.
  • Pledge Generation: Colin is still chipping away at this, needs about ~5 hours of dedicated work to finish.
  • Container hot-reloading and Content Security Policy restoration: Kat going to take the lead on this.
  • How far away are we from closing our Rails 7 upgrade issue? 3 settings that we still need to turn on, but will require some development work.

Board Matters

We have a received two significant grants, which will be used for tech support and infrastructure. Other ideas for using these funds:

  • We are considering giving away Daria to our client funds.
  • Another option is hiring another OTS person for limited-scope contract.
  • Pay for another security audit
  • Matching fund for abortion funds?

VC Fund call: Not likely they will write us a check

Bylaws in a Post-Roe world:

  • Our lawyer raised a couple of liability concerns: subpoena, law enforcement data requests, etc.
  • We need to amend the bylaws to legally protect ourselves.
  • Colin to schedule a board meeting to do a formal vote to amend the bylaws.

Business

  • Our tax year is over, we need to hire an accountant
  • We need to purchase D&O insurance

Open Discussion

Penny: a closed-source Daria sponsored by NNAF. Some of our funds will move to this new system (based on Salesforce) once it's ready. We need to figure out how to off-board funds moving to this new system, and have a deletion policy articulated publicly.

Consider paying for a security audit? Colin to lead this initiative and get the conversation started.

Website

  • Website looks good, test donation worked!
  • Our receipt format is a bit wonky, and needs some design work. Looks like something you’ve purchased instead of a donation receipt: https://github.com/DARIAEngineering/organization/issues/21
  • Need to add a DNS entry for the website for it to be officially launched

Business

  • We don’t plan to add new people to the board. It will just be Colin, Kat, Lisa through the end of the year.
  • We've gotten seed funding from a new source, and are working on re-appropriating funds from another source
  • Colin to imminently remove his credit card from a bunch of Daria stuff
  • Time for a re-brand? The DCAF name is everywhere, though Daria is no longer a project of DCAF. Time to update our userguide and expunge most reference to DCAF: https://github.com/DARIAEngineering/dcaf_case_management/issues/2552

  • Migrations are all done except for one fund (CAF).
  • Colin will still decommission old services today except for CAF.
  • Cristina has resumed releasing manager duties.
  • ruby 3.1 - upgrade sqreen, eliminate ruby_audit
  • rails 7 - Never really correctly finished upgrading to rails 6 defaults. Same site cookies are broken. -- Cristina to look at same-site cookies (https://github.com/DARIAEngineering/dcaf_case_management/pull/2500)
  • Kat personal matter is going fine!
  • IRS status: we're official
  • Colin tagged a few issues for UI/UX
  • Daria website: Lisa looked into a couple options, CRM options are really simple. Squarespace, Wix: $25 - $30/month. Zyro is ~$10/month. Lisa to look into non-profit discounts. Goal is to have Lisa be able to set up and administer the site, and we would be willing to pay a little more for that.
  • How do assets work on Daria? It's complicated.
  • Some questions about how much money we have. Colin to follow up to figure out our financial situation. Follow up at next meeting?

  • Migrations: Cristina has early mornings, so Colin will continue to finish off migrations. Cristina will resume release duties after.
  • Ruby 3.1: Lots of library issues. Two major library issues: Sqreen and ruby-audit. Cristina will help get ruby-audit over the finish line; Colin will work on doing the rails upgrade.
  • Kat will be tied up for part of Jan-Feb due to a personal matter.
  • IRS status: Still waiting, but getting there.
  • Transition status: Mostly done. Three funds outstanding.
  • UX/UI tickets: We have a good designer for the first time in awhile. Let's come up with some UX stuff for her. (Colin will handle.)

  • Colin is still waiting for IRS approval on the non-profit status of DARIA. It's been 10 weeks since we've applied, after 6 more weeks, we can start complaining to the IRS that this is taking too long.
  • Lisa is going to brainstorm some ideas about what a Board for DARIA could look like, and who could potentially be on it.
